# Restaurant Accounting Singapore: How Stocktake Can Help Explain Food Costs and Margins

## **Busy Restaurant, Disappointing Margins? Start With Your Stocktake**

Your restaurant is busy, supplier bills are paid and sales look healthy. Yet the profit at month-end is lower than expected.

Before changing menu prices, check whether your food-cost figures reflect what the kitchen actually used. Purchases tell you what arrived during the month. A stocktake helps establish what remains — and makes the difference easier to explain.

For independent restaurants in Singapore, this is both a management opportunity and part of maintaining reliable accounting records. **Why Purchases Alone Can Mislead You**

Imagine your restaurant starts the month with S8,000offoodinventory,purchasesanotherS30,000 and finishes with S$10,000 on hand.

A simplified calculation gives:

**Opening stock + purchases − closing stock = food consumed**

**S8,000+S30,000 − S10,000=S28,000**

This example assumes consistent cost valuation and no other adjustments. The S$28,000 may include ingredients used for customer meals, staff meals and waste; it does not explain those categories by itself.

Treating the entire S$30,000 purchased as that month’s consumption would distort your management figures. Equally, overlooking spoiled stock in the closing count could make performance appear better than it is.

**What Singapore Record Keeping Requires**

For companies, IRAS requires proper financial records, source documents and accounting schedules to be retained for at least five years from the relevant Year of Assessment. citeturn0search2

The practical challenge is connecting the kitchen’s quantities with the bookkeeper’s costs. These three steps can help.

**1. Make Counting Consistent and Manageable**

Choose a regular counting time, ideally when stock movements are limited. Use the same units each month: kilograms, litres, bottles or individual packs.

Include every storage area and record transfers between outlets. Separate damaged or expired items for review rather than counting them as usable stock.

Assign a person to count and another to review significant differences. Give your accountant both the quantities and the supporting purchase information so that valuation follows a consistent method.

**2. Record Waste While the Reason Is Still Clear**

A missing ingredient balance does not automatically mean theft or over-portioning. It might reflect spoilage, preparation losses, an unrecorded transfer or a counting error.

Keep a simple waste log recording the item, quantity, date and reason. Start with expensive or frequently discarded ingredients to keep the task manageable.

**3. Review the Figures With Your Chef and Bookkeeper**

Each month, compare food consumption with food sales for the same period, using a consistent basis. Investigate unusual changes before deciding to raise prices.

Check supplier price increases, portion sizes, menu mix and stock adjustments. Ask whether deliveries received near month-end and their invoices have been recorded in the correct period.

A short monthly discussion can turn an unexplained margin drop into a specific action: correcting a record, changing an order or reviewing a recipe.

**A Simple Monthly Stocktake Review**

**Stocktake Is Not Just an Accounting Exercise**

A stocktake can give restaurant owners a clearer view of what is happening behind the sales number. If food consumption is increasing faster than food sales, the business may need to investigate purchasing prices, portion sizes, waste, menu mix or stock handling. The count itself does not identify the cause, but it gives the business a more useful starting point for asking the right questions.

That is why stocktake information should not sit separately from the monthly accounts. When inventory records, supplier purchases and financial reporting are reviewed together, management can get a clearer picture of where margins are changing and why.
